This article will detail the metrics within the Vaccination Support: Flu vaccine cabinet

The Vaccination Support: Flu vaccine cabinet contains metrics to support your practice to deliver the influenza vaccination in your practice to your patients. 

To navigate to this cabinet, go to Clinic Optimisation > Vaccination Support: Flu vaccine.

If you have already opted-in for the Vaccination Support: COVID-19 cabinet, you will automatically have access to this cabinet too. 


NOTE: This cabinet is opt-in for customers who are using Best Practice. If you would like to opt-in to have this in your practice, please complete this form. After a successful nightly extract with the new indicators, the cabinet will be available to your practice in 1-2 business days. Patients vaccinated this flu season

The figures shows the number of patients who have received a flu vaccine this season. The flu season runs from the beginning of March until the end of February the following year.

Patients vaccinated last flu season

The number of patients who received a flu vaccine last season. The flu season runs from the beginning of March until the end of February the following year. 

TOP TIP! Use this at the beginning of your upcoming Flu season (March) to quickly see how many patients were vaccinated at your practice last flu season. For a further breakdown use the "Doses given" tab to see a breakdown of Flu vaccination doses that were provided in each season over the past 4 seasons, broken down by patient age groups. 

This can help you better understand the volume of patients and vaccinations for the upcoming flu season to best prepare your flu clinics, staff and stock. For a breakdown of stock via Government-funded flu vax, private flu and others see the "Vaccination coverage"  graph below.

Eligible for NIP flu vax

The number of patients who are eligible to receive the Government-funded flu vaccine, as per the National Immunisation Program guidelines. The bottom figure will show you how many patients have received a Government-funded flu vaccine this year (March until the end of February the following year. )

Possible private flu vax

The number of patients who do not qualify for the Government-funded vaccine, but may want to receive a private flu vaccine this season based on their vaccination history.

Vaccination coverage

This metric provides a visual tracker to show how many patients from your eligible groups for Government-funded flu vaccine and private flu vaccine have been vaccinated, you will also find the breakdown of patients vaccinated by season across previous seasons. 

Patients in the 'Other' group make up the rest of your active patient database and are not included in the lists for NIP flu vaccine or private flu vaccine on this page. 

Use this metric to understand how many patients you are vaccinating throughout your flu clinics.

Patients eligible for NIP flu vaccine

These metrics will provide a list of patients that may be eligible to receive the Government-funded flu vaccine, as per the National Immunisation Program Guidelines, or a possible Private flu vaccine. 

Currently, Government-funded eligible patients include: 

  • all children from 6 months to less than 5 years of age
  • all adults aged 65 years and older
  • pregnant women
  • all Aboriginal and Torres Strait Islander people aged 6 months and over
  • individuals aged 6 months and older with medical conditions which increase the risk of influenza disease complications (for a full list, go to the ATAGI Clinical Statement)

TOP TIP! Check 'Exclude Covax appts' or 'Exclude flu vax appts' in the filters to remove those patients whose next appointment is either for a  COVID-19 vaccination or Flu vaccination. The highlighted red in the table shows if the date of the last COVID-19 vaccination is within 14 days of the patient's next appointment. You can also check the box "Include patients with only covid vax billings" to include patients that have only attended your practice for covid vaccines. 

This patient list includes:

  • Best Practice internal ID, which allows the use of your third-party booking app to send patients SMS or email messages to attend for their vaccination.
  • Record no. 
  • Patient surname, initial of their first name, age and city
  • Eligibility criteria for NIP flu vax
  • Date of last flu vaccination
  • Date of last COVID-19 vaccination
  • Next appointment date, who the appointment is with, and the appointment type
  • Allergy/Adverse Drug Reaction (ADR) status

Possible private flu vax patients

This list will provide a breakdown of patients who may want to have a private flu vaccine, as they do not qualify for a Government-funded flu vaccine.   

We include details of any upcoming appointments for those patients and the date they received their last flu vaccine.

Our metrics find patients who may want the private flu vaccine by first checking if they are not eligible for a Government-funded vaccine. Next, we look to see if they have received a flu vaccine at your practice previously.  If they have received a flu vaccine previously, we include that patient on this list.

This metric is a count of the number of appointments you currently have scheduled in your appointment book for flu vaccine appointments. 

NOTE! We count these appointments based on the appointment type having 'flu' in the appointment name.

Upcoming Flu vaccination appts

This chart is a visual representation of the number of flu vaccination appointments that are upcoming for your clinic, over the next four weeks. Each bar will show the date, with the number of appointments by appointment type that day.

 

 

This chart is great for a quick glance at how your weeks ahead are looking. If you see a substantial increase or decrease, this will be a good indicator to do a count of the number of expected appointments, therefore ensuring you have enough stock to cover your patient demand. You can then use the lists below to drill into further detail.

TOP TIP! If your upcoming appointments are lower than anticipated, use the lists on the previous tab to contact patients who may be eligible for the flu vaccine.

Daily upcoming Flu vaccination appts

This metric shows a list of all flu vaccination appointments booked over the next 30 days. It will give a summary of the:

  • Appointment date
  • Appointment type
  • Number of appointments

 



TOP TIP! You can easily filter this table and give it to your nursing team to prepare for the week ahead, this can also help you with stock control to ensure you have enough vaccines in stock to vaccinate all upcoming appointments. A great tip is to create an appointment type for each vaccine type you give out Example: Flu vax private & Flu vax government. That way you will be on this list for each how many appointments you have for private vaccines and how many you have for government.

List of upcoming Flu vaccination appts

This metric shows a detailed list of patients who are scheduled to attend the practice for a flu vaccination appointment over the next 30 days. 

 

We include appointments on this list with 'flu' in their appointment name, so it is also a great way to monitor how many different flu appointment types you have created in your software.

TOP TIP! Use this list to cancel or reschedule appointments if you need to make arrangements for a specific clinic day. For example, your nurse immuniser is away sick.

This can help you better understand the volume of patients and vaccinations for the upcoming flu season to best prepare your flu clinics, staff and stock.
