Gain a detailed understanding of the metrics within the Vaccination Support: Flu vaccine cabinet

This cabinet is available to our Best Practice software integration customers. 

The Vaccination Support: Flu vaccine cabinet contains metrics to support your practice to deliver the influenza vaccination in your practice to your patients. 

To navigate to this cabinet go to Clinic Optimisation > Vaccination Support > Flu vaccine.

Important update - June 2024:

We have made changes to the calculations within this metric as the flu vaccinations were not location-specific when multiple practices shared a Bp database, so we added a location flag to improve accuracy.

The base vaccine raw table includes a visit number linked to a specific location, with reliable data from 2020 onwards. Additionally, the "notgivenhere" field identifies vaccines not administered within the practice group. Using this field with the location flag allows accurate linking of vaccines to the correct practice. 

To ensure transparency, a disclaimer tab has been added to individual practice cabinets to highlight outliers, providing a breakdown for each location. This applies to both multi-site and single-site practices.

This metric tile shows the number of patients who have received a flu vaccine administered by this practice location for this season. The flu season runs from the start of March to the end of February each year.

This metric tile shows the number of patients who have received a flu vaccine administered by this practice location for last season. The flu season runs from the start of March to the end of February each year.

TOP TIP! Use this at the beginning of your upcoming Flu season (March) to quickly see how many patients were vaccinated at your practice last flu season. For a further breakdown use the Doses given tab to see details of flu vaccinations that were administered in each flu season historically, broken down by patient age groups. 

This can help you better understand the volume of patients and vaccinations for the upcoming flu season to best prepare your flu clinics, staff and stock.

To break down the doses given between different eligibility, such as NIP and private flu vaccine, use the Vaccinations filter in the sidebar.

Eligible for NIP flu vax

This is the number of patients in your full database of patients (for the practice group) who are eligible to receive the Government-funded flu vaccine, as per the National Immunisation Program guidelines. The bottom figure will show you how many patients have received a Government-funded flu vaccine this year (1 March until the end of February the following year. )

Possible private flu vax

The number of patients in your full database of patients (for the practice group) who are not eligible for the Government-funded vaccine, but may want to receive a private flu vaccine this season based on their previous vaccination history of having a flu vaccination the previous flu season.

Flu vaccination coverage

This graph breaks down into vaccination eligibility categories and shows how many in each category have received the flu vaccination for this season.

This metric provides a visual tracker to show how many patients from your full database of patients (for the practice group) broken down by eligibility for Government-funded flu vaccine and private flu vaccine have been vaccinated this flu season.

You will also find the breakdown of patients vaccinated by season for previous flu seasons. The flu season runs from the start of March to the end of February each year.

Patients in the Others group make up the rest of your active patient database and are patients that are not included in the lists for NIP flu vaccine or private flu vaccine on this page. 

Use this metric to understand how many patients in your practice database have received a flu vaccine.

Patients eligible for NIP flu vaccine 

This table provides a list of patients who may be eligible to receive the Government-funded flu vaccine, as per the National Immunisation Program Guidelines.

Currently, Government-funded eligible patients include: 

  • children aged 6 months to less than 5 years of age
  • people aged 65 years and older
  • pregnant women
  • First Nations people aged 6 months and over
  • people aged 6 months and older with certain medical conditions that increase their risk of severe influenza and its complications

TOP TIP! Toggle the filters Exclude Covax appts and/or Exclude flu vax appts to remove those patients whose next appointment is either for a  COVID-19 vaccination or Flu vaccination. 

This patient list includes:

  • Best Practice internal ID, which allows the use of your third-party booking app to send patients SMS or email messages to attend for their vaccination.
  • Record no. 
  • Patient surname, initial of their first name, age and city
  • Eligibility criteria for NIP flu vax
  • Date of last flu vaccination
  • Date of last COVID-19 vaccination
  • Next appointment date, who the appointment is with, and the appointment type
  • Allergy/Adverse Drug Reaction (ADR) status

Possible private flu vax patients

This table provides a list of patients who may want to have a private flu vaccine, as they are not eligible for a Government-funded flu vaccine.   

We include details of any upcoming appointments for those patients and the date they received their last flu vaccine.

Our metrics find patients who may want the private flu vaccine by first checking if they are not eligible for a Government-funded vaccine. Next, we look to see if they have received a flu vaccine at your practice during the previous flu season.  If they have received a flu vaccine the previous year, we then include that patient on this list. 

TOP TIP! Toggle the filters Exclude Covax appts and/or Exclude flu vax appts to remove those patients whose next appointment is either for a  COVID-19 vaccination or Flu vaccination.

Upcoming Flu appointments count

This metric is a count of the number of appointments you currently have scheduled in your appointment book for flu vaccine appointments. 

NOTE: We count these appointments based on the appointment type having the word flu in the appointment name.

Upcoming Flu vaccination appts

This chart is a visual representation of the number of flu vaccination appointments that are upcoming for your clinic over the next four weeks. Each bar will show the start date, with the number of appointments for that week.

This chart is great for a quick view of how your weeks ahead are looking. If you see a substantial increase or decrease, this is a good indicator to check the count of the number of expected appointments to ensure you have enough stock to cover your patient demand. You can then use the other metrics on this page to go into further detail.

TOP TIP! If your upcoming appointments are lower than anticipated, and you have appointments you want to fill, use the lists on the Patient eligibility tab to contact patients who may be eligible for the flu vaccine to book an appointment.

Daily upcoming Flu vaccination appts

This metric shows a list of all flu vaccination appointments booked over the next 30 days. it is also a great way to monitor how many different flu appointment types you have created in your software. It will give a summary of the:

  • Appointment date
  • Appointment type
  • Number of appointments

TOP TIP! You can filter this table and give it to your nursing team to prepare for the week ahead. This can also help you with stock control to ensure you have enough vaccines in stock to vaccinate all upcoming patient appointments.

Create an appointment type for each vaccine type you provide. For example Flu vax private & Flu vax Government. That way you will be able to see from this list how many appointments you need for private vaccines and how many you need for Government-funded vaccines.

List of upcoming Flu vaccination appts

This metric shows a detailed list of patients who are scheduled to attend the practice for a flu vaccination appointment over the next 30 days. 

We include appointments on this list with the word 'flu' in their appointment name.

TOP TIP! Use this list to cancel or reschedule appointments if you need to make arrangements for a specific day. For example, your nurse immuniser is away sick and you need to reschedule your patients booked for a flu vaccination for another day.

3. Doses given

Use this at the beginning of your upcoming Flu season (March) to quickly see a breakdown of Flu vaccination doses that were provided in previous flu seasons,  broken down by patient age groups. 

 

This metric can help you better understand the volume of patients and vaccinations for the upcoming flu season to best prepare your flu clinics, staff and stock. 

This table displays a breakdown of flu vaccination doses which were administered by this practice location in each flu season, broken down by patient age groups and vaccine name. It is important to note a patient may have had more than one flu vaccine administered within a single flu season. The flu season runs from the start of March to the end of February each year. 

TOP TIP! Use the drop-down filter on the table to select current or previous flu seasons specifically.

4. Disclaimer tab

The Disclaimer tab provides an understanding of how we are calculating the number of flu vaccinations administered in the flu vaccination support cabinet.

Use the summary paragraph at the top of the table to gain a quick understanding of the vaccination breakdown for the current flu season.

This table displays a detailed breakdown of flu vaccinations administered, showing counts by database location for the selected flu season. Practice group refers to any flu vaccination provided to a patient from any location on your practice database. Given at this location refers to any flu vaccination provided to a patient from the locations being extracted to this Cubiko dashboard.

Given at this practice group refers to any flu vaccination provided to a patient from any location on your practice database. This is especially relevant for those practices that share one Bp database. Yes in this column for the flu season means there is data from your Bp database.

If you have 'No' in both the practice group and location columns, this means the vaccines were given outside of your practice group (e.g. given elsewhere such as another practice or pharmacy) but the vaccination is recorded on the patient's file in your database.
