Settings Checklist for New and Existing practices

A quick overview checklist of what you need to complete in Settings for New and Existing practices

New practices 

  1. Review Users and Appointments:
    1. Check your Role Defaults are ticked/unticked as required for future Users to be added
    2. Check all Users to be included in your Cubiko data have been allocated their correct role
    3. Review your appointment types and either tick or untick to include or exclude in metrics and mark as a patient appointment or non-patient appointment (untick to be marked as a non-patient appointment), as appropriate for your practice 
    4. Check your Telehealth and Covax appointment types have been ticked
  2. Opt-in to Touchstone settings  (optional)
  3. Set up Budgets and Targets under Advanced: Setting up Budgets and Targets  (optional)
  4. Set up Open Hours and Rooms under Advanced (for room utilisation metrics to show correctly)  
  5. Viewers: Provide access to practice team members as required. More information is in our Viewer Permissions knowledge base article
  6. Integrations: if choosing to connect Cubiko with Tanda, Xero, Surgical Partners or BetterConsult, please see the appropriate Knowledge Base article on how to connect these to your Cubiko dashboard

 


 

Existing practices

  1. Ensure the appropriate person or email at your practice receives notification emails from Cubiko when a new User or Appointment is added to your Practice Management Software (PMS) by selecting Pending Settings updates in Viewers permissions
  2. Review any new Users or Appointments in Settings to ensure:
    1. the correct role has been allocated to your User
    2. your Appointments are either ticked or unticked to include or exclude in metrics and marked as a patient appointment or non-patient appointment (untick to be marked as a non-patient appointment), as appropriate for your practice 
    3. your Appointments for Telehealth and Covax appointment types have been ticked
  3. If you add a new location in your PMS for your practice, you need to let our support team know, so we can begin extracting data from the new location to add to your Cubiko dashboard.   Email us at support@cubiko.com.au
  4. Resetting staff passwords and two-factor authentication can be done by your practice's management team in most instances through Viewers. See our knowledge base article Reset password and 2FA  for more information
  5. Update Open Hours and Rooms (for room utilisation metrics to show correctly), as needed
  6. Update Touchstone if any of the selection options change for your practice
