An overview of the steps to take to set up your Practitioners and Doctors with access to My Cubiko
My Cubiko is an individual summary cabinet for the data-empowered Practitioner, providing insights and analysis into that Practitioner's billings, patients, and diary. Using My Cubiko, you can restrict the access your Practitioners have so they are only able to see their own data if you choose.
NOTE: your clinic is responsible for the use of Cubiko by each user it grants access to, including any unauthorised use of patient or clinic data. All permissions should be carefully set for each new user.
MD Cubiko users: Prior to adding your doctors to MyCubiko, please ensure you have reviewed and completed MD and Cubiko - How to fix multiple users in Cubiko prior to granting access.
In order to give access to My Cubiko to your Practitioners, you will need to log into Cubiko Settings. The username and password are the same as you use to access Cubiko.
Watch our short video below on setting up access to My Cubiko.
You can also access Cubiko Settings from the Cubiko main page by clicking on the link in the sidebar called Settings.
Once logged into Settings, head to Viewers.
You can now choose to either:
-
select an existing Viewer from the list (who is a Practitioner), or
-
click Create new viewer, and enter the first name, last name and email address they will use to log into Cubiko.
When adding My Cubiko to an existing viewer, select the viewer name and in the permission, list select My Cubiko:
When creating a new viewer press the "Create new viewer" button
Enter the viewer details:
Under role select "Practitioner/Doctor" unless they are a Practice Owner -GP and you would like them to have full access to all data in Cubiko:
By selecting Continue you will come to the permissions screen which will automatically show My Cubiko as the permission and Full access as no.
Full access to My Cubiko?
Selecting Yes will give this viewer access to all Practitioners' data in My Cubiko, including the ability to see practice averages. This setting is more suited to Practice Principals/Owners.
Selecting No will allow you to choose which people this viewer can view data on and whether they have access to practice averages. This setting only affects the My Cubiko page.
My Cubiko users
Choose which Practitioners this Viewer will be allowed to view data on in My Cubiko. This setting only affects the My Cubiko page. Leaving this section blank will result in no data being displayed.
This can be helpful for mentors or team leads to be able to view and discuss data with individual team members. Otherwise, if a Practitioner should only see their data in My Cubiko, choose only their name from the list.
MD Cubiko users: Please ensure to select BOTH user profiles for the individual/s you are adding. If you have not done so, please review MD and Cubiko - How to fix multiple users prior to completing this.
My Cubiko access to practice averages?
This section controls whether the viewer can see the average performance of the practice (e.g. average billings per hour) on the My Cubiko page.
You may not always feel it is appropriate for a Practitioner to see the average of your practice’s metrics and measures, e.g. in the case of Locums or Registrars.
If you select ‘Yes’ here, any other Practitioners’ data will be anonymised.
Once you have made your selections, if you're updating an existing Viewer, click Save changes; otherwise if you're adding a new Viewer, click Create new viewer.
If a new Viewer has been created, they will receive an email welcoming them to My Cubiko, and guiding them to log in.
Once logged in, the viewer will be able to access My Cubiko cabinet under the Summary heading in Cubiko.
