Guide to logging into Cubiko

Steps to set up your login for Cubiko
- Check your inbox for an email from Cubiko inviting you to log in (check your spam/junk folder too). Note: this email link expires after 5 days. If it's been longer than that, skip to Troubleshooting below.
- Click the link in the email and set up your password.
- Your password must contain one capital letter, one number (0-9), and a symbol (!, @, #, $, %, ^, &, *). It can't contain your name.
- We recommend each team member has their own login rather than sharing accounts. 2FA can only be set up on one device at a time, so sharing a login can cause access issues for your team down the track. If your practice does need to share a login, make sure the device it's set up on is a dedicated, secure practice device that everyone who needs it can access.
- Once your password is set up, you'll need to set up 2FA to log in to Cubiko. Choose one of the two options below.
Set up your 2FA/MFA
You can set up 2FA/MFA using an authenticator app (recommended) or via SMS.
Note: For the security of your practice data, email can't be used as your 2FA method. You'll need an authenticator app or SMS (see Options A & B below).
Option A: Set up with an authenticator app
- Download an authenticator app if you don't already have one, such as Google Authenticator or Microsoft Authenticator. These are available in the Apple App Store or Google Play Store.
- On the Cubiko login screen, enter your phone number and click Next (>). This sends a 6-digit code to your phone.
- Enter the code you received and click Next.
- Copy the recovery code shown and store it somewhere safe. This code acts as a backup way to sign in if you ever lose access to your authenticator app. Click Next again.
- You'll be prompted to scan a QR code. Open your authenticator app:
- Google Authenticator: tap the coloured + icon in the bottom-right corner.
- Microsoft Authenticator: tap the blue QR icon in the bottom-right corner.
- This opens your camera. Scan the QR code on the Cubiko login screen.
- Your app will show a six-digit code. Enter this into the Cubiko login screen. Note: this code is time-sensitive and refreshes every 60 seconds.
IMPORTANT! If you don't see a QR code at step 5, you may already have 2FA set up on this device.
Got a new device? Your 2FA is linked to your previous device, so you'll need your practice administrator to reset it before you can log in and set it up fresh. See our guide: Reset your password and Multi-factor Authentication (2FA/MFA) in Cubiko.
Option B: Set up with SMS
If you'd rather not use an authenticator app, Cubiko can send one-time login codes to your mobile via SMS.
- On the 'Log in to Cubiko' screen (where the QR code appears), click I'd rather use SMS at the bottom of the screen.

- Enter your phone number and click Next. A 6-digit code will be sent via SMS.
- Enter the code you received.
- Copy the recovery code shown and store it somewhere safe. This acts as a backup way to sign in if you don't have access to your SMS codes.
Once you've completed either option above, you're in!
TOP TIP! If you're the only person using this computer, tick 'remember this device for 30 days' so you only need to enter your 2FA code once a month, rather than every time you log in.
If you share this computer with others, we recommend not using the 'remember this device' option.
Common troubleshooting issues

Two-step code not working? Check that your mobile device's time matches your computer's. If they're out of sync, the code (which refreshes every 60 seconds) won't line up with what the login screen expects.

Login link expired (more than 5 days old)? Head to our login page at app.cubiko.com.au and click 'Forgot password?' to set your password.
