Incoming referrals

Understand the source and status of your incoming referrals and keep track of expired referrals.

Gain an in-depth oversight of all incoming patient referrals and referrers. In this metric, you can see when you gain and lose referrers, the type of referrers, the number of referrals, average billings and appointments by referrers and referral and track patient referral status including expired referrals. 

To navigate to this metric go to Clinic Insights > Past Clinic Metrics > Operations tab > Incoming referrals. 

Click through to see these referrals broken down by category for the selected time period.

Practice Managers and Owners can review this metric to gain an understanding of how their referrals are performing in their practice.

Incoming referrals

This metric shows the total number of incoming referrals received for the selected time period.

New referrers

This metric shows new referrers to the practice and the number of referrals from that provider number. These are contacts who sent their first referral during the selected date range.

TOP TIP: Use this list to see where your new referrals are coming from. These contacts may be worth reaching out to for further introduction and networking.

Referral pipeline

This metric shows the conversion rate for referrals. At the top of the funnel are the total incoming referrals to the practice, then those that converted into an initial consult (where the patient has attended an appointment), and finally referrals that resulted in 2 or more appts.

Referrals by category

This metric shows the breakdown of the specialties that are being referred from. Any referral that does not have a specialty will be marked as Uncategorised.

NOTE: A referral may fall into the 'Uncategorised' category if the contact in your PMS address book hasn't been allocated into a specialty category. You can filter by category in Cubiko to find these referrers and then update your address book.

Pt appts with expired referrals

This is the number of patients with upcoming appointments and referrals that expire before the time of their appointment. Click through to see a list that details these appointments and the expiring referrals.


This list can be valuable for:

  • Reviewing the patient file for new referrals received and updating the new referral date in your PMS.
  • A list of patients who may need contacting to advise they need to provide a new referral before their appointment.
  • Contacting the referrer for a copy of the new referral

TOP TIP: By default, the patients will show in order of appointment date. You can also use the filters to search by Referrers and Categories.

This metric shows the total number of incoming referrals for each referrer in the selected date range.

This metric shows the average billings per referral broken down by the specialty of the referrer, as specified in the Practice Management Software's contacts database.

Patient referrals

This table lists the details of all the referrals that were received in the selected time range. 

TOP TIP: Sort the Referring practitioner column in order and you have your Christmas card list ready to go 🎄.
Also, use the 'Referrals by Referrer' metric to see those providers who are referring to you the most.

Lost referrers

This table lists the details of referrers whose last referral date was 3-6 months ago. This metric will not show referrers lost from more than 6 months ago. 

TOP TIP: This list can be a great resource of referrers whom you may wish to reach out to and re-introduce yourself and the services that are available at your practice.
