Appointment count and billings per appointment

Get precise information about how your billings per appointment are going month on month

This metric can assist in understanding how your Practice is utilising appointments, and the average value of an appointment, as well as whether your billings per appointment reduce or increase, in line with your appointments.

To navigate to this metric, go to Summary > Summary of billings at the Practice > Appointment count and billings per appointment.

Appointment count and billings per appointment

This metric shows a graph representing the monthly total appointments in your practice and the average dollar value per appointment for the last six months. This graph will allow you to understand how your practice is performing month to month, you can then click further into this metric to see associated metrics, as detailed below.

TOP TIP! The data behind the graphic in the metric shows the trend of the appointment count for your Practice, so you can see at first glance if the number of appointments is going up or down.

Appointment count

The figure represents the number of completed /invoiced /paid appointments over the selected timeframe. Some practices consider this the number of patients seen. It excludes appointment types and providers not nominated under practice preferences.

Billings per appointment

This figure represents practice billings per appointment (often called billings per patient; incl. GST) and how are they tracking against the target for the period selected. 

If you have added targets to your Settings area, this metric will show if you are up or down on this target for the selected period. If the metric is red as above, it indicates that there is a 'call to action' e.g. you are not meeting your target.

Appointment Count and billings per appt by Practitioner 

This figure represents billings per appointment by Practitioner (incl. GST) and the number of appointments per practitioner over the selected period. Only patient-facing appointments are considered (Completed/Invoiced/Paid) for active providers and selected appointment types (as per practice preferences). 

 

 

TOP TIP! If your Practitioner does not yet have access to My Cubiko and you want to share this data with them, select them from the Practitioner filter and tour them through this data. You can use the Practice Forecaster to work with them to set their targets and goals, using Cubiko.

Trend of appointment count and billings per appointment

This graph shows the trend of appointments and the value per appointment that has taken place over the selected period. The blue bar chart shows the appointment count and the line graph shows the billings per appointment.

If there is an area you want to look at more closely, zoom in on that area by going to the date range on the graph, clicking with your mouse and then dragging to the end of the period you want to look at. When you are finished, select reset zoom

TOP TIP! Think about what you would like to see for your Practice in this data.

  • Do you need more patients? The appointment count is increasing and billings per appt remain consistent
  • An increase in Billing per appointment? The appointment count remains the same, but the billings per appointment increasing
  • Are you Practitioners finding it hard to keep up, but they need to keep their billings the same -  billings per appt to remain consistent and the appointment count to reduce

Appointment count by type

The figure represents the number of completed /invoiced /paid appointments by type over the selected timeframe. It excludes appointments not nominated in the appointment count under practice preferences.

Note: If you add a new appointment type to your PMS, we will notify you by email to remind you to ensure it is set up correctly in Cubiko.

Appointment count by status

The figure represents the number of all appointments by status over the selected timeframe.

TOP TIP! Ensure you use the filters to understand what the data is telling you within these metrics. For example, you might want to understand if certain Practitioners may have more invoiced-only appointments, than others. Does this translate into Unbilled appointments?
